    Production Coordinator

    LOS ANGELES, CA / HYBRID

    Summary

    ArtClass is a live action and post production studio with locations in Los Angeles, New York and Kansas City. As a team of award-winning directors, producers, editors, writers, and designers, we are dedicated to creating boundary-breaking work with agencies and brands.

    We are looking for a production coordinator for our busy Los Angeles production team, who has a genuine passion for being a part of our mission. This position is located in El Segundo, Los Angeles and will be hybrid remote, in office and on-set. Flexible work schedule may be required, including some nights, weekends, and/or holidays. Minimal travel expected.

    Roles & Responsibilities

    In this role you will:
    Take notes on creative and pre-production calls
    Maintain an archive of project materials on Dropbox and share with team members on email and Slack
    Book meetings & coordinate travel for EPs, Directors and Senior staff
    Assist the LIVE production teams with production needs, including but not limited to:
    Hold crew and gather rates/estimates in support of the bidding process
    Update and keep the brand rolodex current
    Create production calendars for new jobs
    Source and book vendors for shoot locations, catering, trucking and production supplies
    Compile crew documents (invoices, W9, deal memos)
    Draft and/or proofread call sheets and pre-production books
    Assist in inputting invoices, receipts and credit card charges to project budgets
    Assist in wrap for some productions
    Assist with EP and/or Senior staff expense reconciliation as needed
    Crew production assistants and assign tasks on set for in-house productions.

    Requirements

    Entertainment industry experience is a requirement. Office PA or on-set production experience preferred. Commercial production/advertising agency experience a plus.

    An experienced Office PA, Production Coordinator or Account Coordinator with 1-2 years of experience at an agency, management, or entertainment company.
    Interested in a career in commercial production and/or advertising
    Self-directed, discreet, highly organized and able to balance competing priorities
    Attentive to detail, able to spell-check and edit documents before sending
    Strong with conflict-resolution, and decision-making skills
    Able to work diligently and with a sense of urgency, in a fast-paced environment
    Aren’t afraid to pick up the phone to track down an answer
    An excellent communicator with a charismatic personality
