    Production Coordinator

    LOS ANGELES / HYBRID

    ArtClass is a next-generation production company headquartered in Los Angeles with productions happening all over the globe. We are a dynamic cohort of directors, producers, editors, writers, and designers who work on anything from commercials, to series, to feature-length films.

    ArtClass is seeking a motivated and organized Production Coordinator to join our dynamic and busy LA production team. This role is fully production-oriented, and is best suited for aspiring producers who love logistics, small details, planning, communication, and even paperwork. This job requires a flexible schedule, including some nights, weekends, and/or holidays. If you have 2-3 years of relevant experience in a US-based production company and are passionate about the world of film, television, and digital media, we want to hear from you.

    Roles & Responsibilities

    Leads Management: Track status of 10-20 concurrent productions per week across company systems, including AirTable, Google Drive and Slack.

    Pitch Resourcing: proactively coordinate availability of staff & freelance treatment designers and writers across several overlapping pitches per week

    Production Calendars: work with bidding EPs to create production calendars outlining pre-production milestones for jobs

    Travel: Arrange flights, hotel bookings, car rentals/services, and itineraries for EPs, Directors and senior staff members

    Crew & Vendor Outreach: gather and track crew holds & vendor quotes for each job in bidding, i.e. DPs, production designers, casting directors, and specialty vendors

    Budgeting: Work closely with EPs to track pitch & project expenses, process invoices, and ensure projects stay on budget.

    Communication: Act as a central point of contact for the production team, relaying information and updates to ensure everyone is well-informed and on the same page.

    Problem-Solving: Proactively identify potential issues and work with the production team to develop solutions to keep projects on track.

    Assist marketing manager and HOP on purchases, assembly and delivery for client and agency gifts.

    Requirements

    2-3 years of relevant experience in a US-based production company or advertising agency.

    On-set Coordinator, Office or Set PA experience

    Familiarity with on-set production hierarchies

    Strong organizational skills and attention to detail

    Ability to balance competing priorities

    No fear to pick up the phone to track down an answer

    Excellent and concise communication skills

    Superb email etiquette & inbox management

    Discretion to handle tasks for high-profile individuals & talent

    Proficiency in production software and tools: Dropbox, Excel/Google Sheets, Gmail, Apple Mail, Adobe Suite, Acrobat, Google Suite, Showbiz, Hot Budget, True Budget, Movie Magic, AirTable, Slack

    Excellent communication and interpersonal skills

    Ability to work well under pressure and adapt to ever-changing priorities.

    Knowledge of industry best practices and production processes

    Flexible working hours, including evenings and weekends when required for production schedules
