    Executive Assistant

    Summary

    ArtClass is a commercial production & post studio focusing on commercial production. We’re currently seeking an extremely polished Executive Assistant to support our Executive Producer / Managing Director of Live Action. The successful candidate will have strong experience supporting a C-Level Executive in the entertainment industry, is reliable, extremely driven and organized, self sufficient, has an outstanding work ethic and prides themselves on sense of urgency and attention to detail.

    Roles & Responsibilities

    • Support an extremely busy Executive Producer
    • Excellent phone management skills and etiquette
    • Coordinate and provide support for team meetings, events, and conferences
    • Manage all scheduling and calendar for executive
    • Schedules all department meetings
    • Coordination with all levels of management and leadership
    • Develops and maintains databases, distribution lists, mailing lists and filing systems
    • Handles travel arrangements, reservations, etc.
    • Maintains standards of strict confidentiality with respect to all matters and documents
    • Ability to work well with executives, staff members, talent, and visitors
    • Submit expense reports and purchasing requests
    • Prepare presentations for internal/external meetings

    Requirements

    • 2+ years supporting an executive in an administrative capacity at a Production Company, Agency or Studio
    • Demonstrated proficiency with Google docs and Dropbox
    • Service oriented and passionately curious
    • Willingness to work a flexible schedule
    • Experience building and maintaining filing systems and organizing and maintaining large amounts of data
    • Excellent verbal and written communication skills including phone etiquette
    • A self-starter able to work both independently and function well within a team
    • Ability to work in a team where flexibility, keeping others informed and anticipating needs is essential
    • Detail oriented, organized and able to multi-task
    • Demonstrated proactive problem solving skills
    • Demonstrated ability to handle confidential and sensitive information
    • Ability to function in a demanding environment with competing and changing priorities
    • Ability to recognize a need and take ownership of its completion
    • Strong passion for short form and long form media content and a willingness to learn
